Position Summary
The Tender, Pricing & Market Intelligence Coordinator plays a critical role in supporting the Italian business by managing tender-related activities, pricing operations, contract implementation, market intelligence, and business forecasting. The position ensures that tender opportunities are effectively managed, pricing decisions are accurately implemented, and commercial agreements are reflected in internal systems in a timely manner to enable seamless order processing and execution.
In addition, the role provides valuable market insights, competitor intelligence, tender performance analyses, and revenue forecasts to support strategic and operational business decisions.
Key Responsibilities
1. Tender Management & Contract Support
- Support the management of national, regional, and local tenders across Italy.
- Monitor tender opportunities, submission deadlines, award decisions, and contract durations.
- Coordinate the preparation, compilation, and submission of tender documentation.
- Maintain tender databases, trackers, and tender calendars.
- Ensure proper documentation and archiving of all tender-related activities.
- Support the implementation of awarded contracts and ensure smooth internal execution.
2. Pricing Management & Business Case Development
- Prepare pricing calculations for tender submissions and commercial offers.
- Conduct profitability and margin analyses to support pricing decisions.
- Assist in the development of business cases for tender opportunities and strategic commercial projects.
- Coordinate pricing approval processes with Commercial, Finance, and Management teams.
- Maintain comprehensive documentation of pricing assumptions, approvals, and decisions.
- Support pricing strategy development based on market, competitor, and financial analyses.
3. Contract Implementation & System Management
- Ensure timely and accurate upload of tender prices, contract conditions, and customer master data into internal systems (e.g., SAP, CRM, pricing platforms).
- Verify that all approved prices and contract terms are implemented before contract go-live dates.
- Maintain data consistency and data integrity across multiple systems.
- Work closely with Customer Service, Supply Chain, and Finance to ensure smooth order processing and invoicing.
- Monitor and resolve pricing discrepancies, order blocks, and master data issues.
- Support continuous process improvements related to tender implementation and pricing administration.
4. Market Intelligence & Competitive Analysis
- Conduct regular market and competitor analyses for the current product portfolio.
- Monitor competitor activities, pricing developments, tender outcomes, and market share evolution.
- Analyze tender award results to understand competitive dynamics and identify success factors.
- Track competitor strategies, contract wins/losses, and upcoming market developments.
- Prepare regular market intelligence reports for local and regional management teams.
- Support strategic decision-making through actionable competitive insights.
- Identify risks and opportunities within the Italian tender landscape.
5. New Product Launch Support
- Support Commercial, Market Access, and Business Unit teams in preparing future product launches.
- Analyze market potential, competitive landscapes, pricing benchmarks, and reimbursement environments.
- Assess relevant tender opportunities and market access pathways for pipeline products.
- Contribute to launch planning, business case development, and commercialization strategies.
- Monitor future competitor launches and pipeline developments.
- Support forecasting activities related to new product introductions.
6. Tender Performance Reporting & Analytics
- Develop and maintain reports on awarded, lost, and ongoing tenders.
- Monitor tender win rates and analyze reasons for wins and losses.
- Track implementation and utilization rates of awarded tenders and contracts.
- Analyze actual versus expected sales volumes and revenues.
- Identify performance gaps, risks, and opportunities within active contracts.
- Prepare regular dashboards and KPI reports for management.
- Perform trend analyses and provide recommendations to improve tender performance.
- Support business reviews through data-driven insights and performance evaluations.
7. Forecasting & Revenue Planning
- Develop and maintain sales and revenue forecasts for:
- Awarded tenders
- Ongoing tenders
- Upcoming tender opportunities
- Future product launches
- Support annual budgeting and financial planning activities.
- Conduct scenario analyses (Best Case, Base Case, Worst Case) for key tender opportunities.
- Assess the financial impact of tender wins and losses on revenue, profitability, and market share.
- Collaborate closely with Finance, Supply Chain, Demand Planning, and Commercial teams to ensure forecast accuracy.
- Provide management with actionable forecasts to support business decision-making.
8. Cross-Functional Collaboration
- Act as a key interface between Tender Management, Commercial Operations, Market Access, Finance, Customer Service, Supply Chain, Regulatory Affairs, and Business Unit teams.
- Coordinate information flow required for successful contract implementation and execution.
- Support internal business reviews, management presentations, and strategic planning sessions.
- Drive alignment across stakeholders to ensure timely delivery of business objectives.
9. Compliance & Governance
- Ensure adherence to all internal compliance policies, corporate governance requirements, and applicable regulations.
- Maintain complete and audit-ready documentation of pricing, tender, and contract activities.
- Support internal and external audits as required.
- Ensure transparency and accuracy in all tender and pricing processes.
Qualifications:
Education
- Bachelor’s degree in Business Administration, Finance, Economics, Healthcare Management, Market Access, or a related field.
- Equivalent professional experience may be considered.
Professional Experience
- Experience in Tender Management, Pricing, Commercial Operations, Sales Operations, Market Access, Business Analytics, or Finance.
- Experience within the pharmaceutical industry is preferred.
Technical Skills
- Advanced proficiency in Microsoft Excel and PowerPoint.
- Experience working with SAP, CRM systems, and pricing management tools.
- Strong analytical and financial modeling skills.
- Experience with business intelligence tools such as Power BI, Tableau, or similar is highly desirable.
- Understanding of tender processes, pricing strategies, and forecasting methodologies.
